Email Signatures

Email is a critical brand touchpoint and is a great opportunity to share information and support our authentic identity.

Remember that an email signature is a reflection of your institution and is a modern version of stationery.

A sample email signature is below. You can copy and paste it into your email signature setup to simplify formatting.

Century Gothic is the approved font for email signatures. Text should be no larger than 10 pt.

Include your name, title, department and direct phone number. You may also include your address and cell phone number. You may also want to include a web or professional social media link and college logo.

Include a key message or college-approved message.

KCTCS policy prohibits using the following:

  • Colored backgrounds.
  • Flashing or animated images.
  • Taglines or messages that are not current.
  • Personal quotes or messages of affiliation.
  • Confidentiality or environmental statements.

Expand your signature, use the "Copy your signature" link, and paste the sample signature in your outlook signature window.

There may be an opportunity to update email signatures to recognize special events (such as an anniversary year) or awards. Take guidance from your PR/Marketing department when this occurs.
